A recruitment process is a sequence of conversations. Candidate engagement support can keep those conversations organised, helping people understand the opportunity, the next step and who to contact when they have a question.
Make the first message relevant
Start with an accurate role summary and a reason for contacting the person. Agree the sender identity, permitted channels and approved wording before outreach. Candidates should be able to understand who is contacting them, what is being discussed and how to decline further communication through the agreed process.
Keep context across the process
A response should not disappear into an inbox. Record interest, questions, availability and agreed follow-up in the authorised system. Queries about pay, contracts, eligibility or sensitive circumstances should move to the responsible consultant when they fall outside the delivery team’s brief.
- Approved outreach and follow-up messages
- Clear response and handover ownership
- Accurate notes on preferences and next steps
Treat experience as part of quality
Review the clarity and appropriateness of communication, not just response counts. Agree when to pause contact, how to handle requests and which issues require escalation. The aim is a coherent candidate journey with fewer unexplained gaps; contact frequency and response expectations should be set within the service agreement.
