The April pay-floor change
The 2025 rates were £12.21 for the National Living Wage, £10 for workers aged 18–20 and £7.55 for under-18 workers and qualifying apprentices. The National Minimum Wage amendment regulations brought the changes into force on 1 April. These are historical figures for that period.
The minimum wage is distinct from the voluntary Living Wage Foundation benchmarks. It is also distinct from an agency’s client charge. An employer’s statutory responsibility to pay correctly does not depend on whether a commercial negotiation has concluded, so recruitment and finance teams need clearly separated decisions.
Separate pay, charge rates and cost ownership
A consultant may be discussing a revised client rate while payroll needs final worker instructions. If the two conversations share one unresolved status, both can stall. A better register separates approved worker pay, employer-cost review, proposed client charge and confirmed commercial terms, with a named owner for each.
Existing assignments need the same attention as new business. Extensions, booked shifts and candidate offers can carry earlier figures in several places. A focused reconciliation should identify which records need authorised updates and which require further review, rather than assuming that changing the next advert fixes the current assignment population.
An assignment-level reconciliation can connect the authorised pay figure with the worker confirmation and billing instruction, making discrepancies visible before the next processing deadline.
Keep the brief-to-bill handover connected
Key Med Solutions can help prepare an assignment inventory, reconcile approved rate versions and chase missing timesheet or billing information. The client’s payroll and finance owners should determine calculations and commercial treatment. Administrative support can make those decisions visible without claiming authority to approve them.
An exception report can distinguish a missing approval from a system update still in progress. That small distinction helps a consultant know whether to obtain a decision or simply complete an agreed task. It also gives managers a clearer view of what remains before the next payroll or invoicing cut-off.
The April 2025 lesson is to join up the records while keeping responsibilities precise. Key Med can support recruitment administration and pay-and-bill coordination within an agreed scope. The employer remains responsible for lawful pay, and professional advisers should resolve questions about the applicable rules or calculations.
