A booking is only useful when the right people share the same information. Administrative support can help coordinate availability, approved requirements and changes across a staffing desk.
Work from an approved requirement
Capture the role, location, working pattern, required evidence and assignment contact. Check which information has been authorised and which questions remain open. Candidate or worker availability should be current and linked to the actual requirement.
Keep changes visible
A scoped workflow can include availability updates, booking confirmations, rota administration, approved reminders and cancellation tracking. Record changes in the agreed system and route exceptions to the responsible consultant. Avoid relying on a separate spreadsheet that other teams cannot see. An agreed handover should show outstanding confirmations and changes that still need consultant approval.
Preserve decision ownership
The agency or employer must confirm who approves a booking, verifies suitability, manages employment or engagement and decides on a replacement. Administrative coordination does not replace authorised checks, safe staffing judgement or clinical decisions. Agree operating windows, escalation contacts and system access before delivery starts.
